Refund & Cancellation Policy

Effective Date: April 17, 2025

At Couelle LLC, we create highly personalized, immersive travel experiences. Due to the bespoke nature of our itineraries, cancellations and refunds are subject to the terms below.

1. Booking Confirmation & Deposits
A non-refundable deposit (typically 25–40% of the total trip cost, depending on itinerary) is required to confirm your booking. This secures accommodations, expert guides, and other curated elements of your journey.

The full balance is typically due 60 days prior to departure unless otherwise stated.

2. Cancellations by Client
If you must cancel your trip, please notify us in writing as soon as possible. Refunds (excluding the non-refundable deposit) will be issued based on the following schedule:

More than 60 days before departure: Refund of balance paid, minus deposit
31–59 days before departure: 50% refund of total cost
30 days or less before departure: No refund available
Please note: Certain tours, accommodations, or private experiences may have stricter policies, which will be clearly outlined in your customized itinerary or agreement.

3. Cancellations by Couelle LLC
In the unlikely event that Couelle LLC must cancel your trip due to unforeseen circumstances (e.g. political unrest, natural disaster, or force majeure), we will:

Offer to reschedule your experience at a future date
Or provide a credit for future travel
Or issue a refund, minus unrecoverable supplier costs
4. Changes to Itinerary
We will do our best to accommodate changes requested after booking. However, adjustments made within 30 days of departure may be subject to additional fees and cannot be guaranteed, especially where third-party providers are involved.

5. Travel Insurance
We strongly recommend purchasing comprehensive travel insurance that includes trip cancellation, interruption, and medical coverage. This protects you in the event of unexpected circumstances, including illness, family emergencies, or travel disruptions.

6. Non-Refundable Elements
Please be aware that some experiences — such as museum reservations, private chef services, or specialty workshops — may be non-refundable once booked. These will be clearly indicated before confirmation.
